Location: Vignate, Italy (Hybrid)

We are looking for a proactive, detail-oriented, and operations-driven HR Administration Specialist who can confidently manage Time & Attendance (T&A), payroll processes, and HR administration activities.

In this role, you will oversee core processes that are critical to the organization's day-to-day operations, working in a multi-site, international, and fast-paced environment where accuracy, responsiveness, and the ability to manage complexity make a real difference.

The role also involves actively supporting labor relations activities, particularly through documentation management, data preparation, and analysis.

Fluency in English is essential, as you will interact daily with global stakeholders.

What You Will Do

You will serve as a key operational point of contact, ensuring the smooth execution of payroll and T&A processes:

  • Collect, verify, and consolidate monthly payroll inputs (salary variables, attendance records, absences, overtime, allowances, etc.).
  • Monitor and validate data from T&A systems, ensuring accuracy, completeness, and compliance with company policies and applicable regulations.
  • Support the validation of pre-payroll drafts and final payroll outputs, identifying discrepancies and contributing to their resolution.
  • Collaborate with the international Payroll team, managing tickets, escalations, and follow-up actions.
  • Contribute to the preparation of standard and ad hoc reports (labor costs, FTEs, absenteeism, overtime, etc.).

Administrative Support for Labor Relations

You will partner with the HR Generalist on activities related to labor relations, including:

  • Preparing documentation, reports, and data analyses for meetings with employee representatives and trade unions (RSU/RSA).
  • Developing calculations, simulations, and datasets to support negotiations and internal reviews.
  • Assisting in the preparation of materials for second-level bargaining and joint committee meetings.

Requirements

  • English: B2–C1 level, with the ability to work effectively with international stakeholders on a daily basis.
  • Experience: 1–3 years of experience in HR administration, with a focus on payroll and/or T&A processes.
  • Experience working with external payroll providers and managing monthly payroll cycles.
  • Good knowledge of Excel and HRIS systems.
  • Basic knowledge of the Metalworking National Collective Labor Agreement (CCNL Metalmeccanico) or a similar collective bargaining agreement is considered an advantage.

Mindset

  • Ownership: You take responsibility for operational activities and deliver results with accountability.
  • Accuracy and attention to detail: You understand the importance of data quality and precision.
  • Bias for action: You work efficiently, stay organized, and consistently meet deadlines.
  • Problem-solving mindset: You identify issues proactively, propose solutions, and contribute to process improvements.
  • Collaboration: You build effective working relationships with colleagues and diverse international stakeholders.

Why This Role Is Special

  • Real, visible impact: You will contribute to critical processes (payroll, HR data, and compliance) that support the entire organization.
  • Professional growth: You will build strong expertise in HR administration, payroll, and labor relations.
  • Challenging environment: You will work in a dynamic, international, multi-site organization where learning and development opportunities are abundant.
  • Meaningful contribution: Every activity you manage will enhance the employee experience and improve the effectiveness of HR processes.
